The short version

  • Piblee is a family organiser. We use your family's information only to run Piblee for your family.
  • We never sell your information, never show adverts and never use your information for advertising.
  • Children can only use Piblee as part of a family set up by a parent. They can only message and share with their own family.
  • Location and screen time are only collected when a parent turns them on and the phone's owner gives permission.
  • You can see, change, download or delete your information. You can delete your account in the app at any time.

For children: what Piblee knows about you 🧒

  • Your grown-up set up Piblee for your family. They can see the things you do in Piblee, like your missions, messages and Pip.
  • Piblee knows your name, your missions and routines, your points and PipCoins, and what Pip is wearing.
  • If your grown-up turns it on, Piblee knows where your phone is, so your family can see when you get to school or home. You can see when this is switched on.
  • If your grown-up turns it on, Piblee knows how long you use your phone, so they can set screen time limits.
  • You can only send messages to people in your own family. Nobody else can see them.
  • We never sell anything about you, and there are no adverts in Piblee.
  • If something worries you, talk to your grown-up, or they can email us.

1. Who we are

Piblee is run by Jordan Harris, a sole trader based in the United Kingdom, trading as Piblee ("Piblee", "we", "us"). We are the controller of the personal information described in this policy, which means we decide how and why it is used.

This policy covers the Piblee apps for iPhone and Android and this website, piblee.co.uk.

2. How Piblee families work

  • Parents (adults aged 18 or over) create a Piblee account with an email address and set up a family.
  • Parents can invite a second parent or, on Family+, guardians such as grandparents.
  • Children are added to the family by a parent. A child's phone is then paired with the family using a code from the parent's phone. Children do not create their own accounts or give us an email address.
  • Everyone in a family can see the family's shared information, such as the calendar and messages. Parents can see their children's activity in Piblee.

3. What we collect

Information you give us

  • Account details (parents and guardians): name, email address and password. We never see your password; it is stored in a protected, scrambled form.
  • Family details: family name, each member's display name and role, and each child's chosen colour.
  • Things you create in Piblee: missions (tasks), routines, rewards, points, checklists, calendar events, messages and reactions, homework, school records (such as behaviour notes, detentions, attendance and timetables), saved places, pickup requests and notes.
  • Photos you choose to add, for example homework photos or a photo showing where you are for a pickup.
  • Pip: the items each child owns and is wearing, and their PipCoin balance and history.
  • Messages to us, if you email us for help.

Information collected when Piblee is used

  • Location, only when switched on (see section 6).
  • Screen time, only when switched on (see section 7).
  • Notification details: a token from Apple or Google that lets us send notifications to your phone, and the notifications we've sent you (your 🔔 inbox).
  • Technical information needed to run the service, such as the app version, phone type and the times you sign in. Our hosting provider keeps short-lived technical logs (including IP addresses) for security and to fix problems.

What we don't collect

  • We don't use advertising or ad trackers, and we don't build profiles for marketing.
  • We don't see or store your card or bank details – payments are handled entirely by Apple or Google.
  • We don't read your phone's contacts, and children cannot be contacted by anyone outside their family through Piblee.

4. Why we use it (and our legal reasons)

UK data protection law says we need a legal reason ("lawful basis") to use personal information. Ours are:

We send emails needed to run your account, such as confirming your email address or resetting your password. We don't send marketing emails.

5. Children's information

Piblee is used by children, so we take extra care, guided by the UK Information Commissioner's Age Appropriate Design Code (the Children's Code).

  • A child's information is provided by their parent, who manages the family and decides which features are switched on.
  • Children can only see and message people in their own family. There are no public profiles, no chat with strangers and no way for anyone outside the family to find a child.
  • GIFs in messages are limited to family-friendly ("G") ratings. Search words are sent to GIPHY through our own server, so GIPHY doesn't learn who searched.
  • Children cannot buy anything. PipCoin packs and subscriptions can only be bought from a parent's phone, behind a grown-ups-only check, and are paid through Apple or Google.
  • Location sharing is off unless a parent switches it on, and children can see when it is on.
  • We don't use children's information for advertising, marketing or profiling, and we never sell it.
  • Parents can ask us to see, correct or delete their child's information (see section 13).

6. Location

Location features are part of the Family and Family+ plans, and are only used when a parent switches them on and the phone's owner allows location access.

  • When on, the phone shares its location with Piblee, including in the background, so your family can see where each other are and get a notification when someone arrives at or leaves a saved place (like school or home).
  • For pickups, the location of the person collecting and the person being collected is shared between them until the pickup ends.
  • Children can pause sharing if their parent allows it, and parents can switch location off at any time. You can also switch off location access in your phone's settings.
  • When you search for a place, the words you type are sent to OpenStreetMap's search service and to your phone's own map service (Apple or Google) to find addresses. Maps are shown using Apple Maps on iPhone and Google Maps on Android.

7. Screen time

Screen time is part of the Family and Family+ plans, and is only collected from a child's phone once it has been set up and permission has been given on that phone.

  • Android: with "Usage access" switched on, Piblee sends today's total screen time and the time spent in the most-used apps to Piblee, so parents can see it.
  • iPhone: Piblee uses Apple's Screen Time (Family Controls). Apple doesn't let apps see exact app usage, so Piblee only receives how much time has been used, in 15-minute steps, for the apps your family chose. Which apps were chosen stays on the phone.
  • Screen time requests, approvals and any notes are stored so parents and children can see them.

8. Payments and PipCoins

  • Subscriptions and PipCoin packs are bought through the App Store or Google Play. Apple or Google take the payment and handle your payment details; we never see them.
  • We use RevenueCat to check purchases. RevenueCat receives an anonymous ID for the parent who bought (linked to their Piblee account) and the purchase details from Apple or Google, so we can confirm which plan your family has and add bought PipCoins.
  • We keep a record of each child's PipCoins: coins bought for them, earned for missions and streaks, received each month with a subscription, and spent on Pip items.

9. Who we share it with

We only share information with services that help us run Piblee ("processors"). They may only use it to provide their service to us, under contract. We don't sell personal information to anyone.

We may also share information if the law requires it, to protect someone's safety, or if Piblee is ever sold or transferred (in which case this policy would continue to protect your information, and we'd tell you first).

10. Information outside the UK

Piblee's main database is in the UK / European Union. Some of the services above are based in the USA. When information goes outside the UK, we make sure it is protected as UK law requires – for example, by the UK–US "data bridge" for certified companies, or by the UK's approved international data transfer contract terms.

11. How long we keep it

  • Your account and family information: for as long as your account is open. When you delete your account, it is deleted (see section 14).
  • Location: kept only as long as needed to show it in the app – for example the latest position, recent arrivals and pickup history – and deleted with your account.
  • Backups: deleted information may remain in our encrypted backups for up to 30 days before being overwritten.
  • Purchase records: kept for 6 years, because UK tax law requires us to keep financial records.
  • Emails to us: kept for up to 2 years after your last message, unless we need them for longer to deal with a complaint.

12. Keeping it safe

Information is encrypted while travelling between the app and our servers, and stored with a provider that encrypts data at rest. Access rules in our database make sure each person can only see their own family's information. We regularly review how Piblee protects information. If there were ever a data breach that put you at risk, we would tell you and the Information Commissioner's Office as the law requires.

13. Your rights

Under UK data protection law you have the right to:

  • access the information we hold about you (and your children);
  • correct it if it's wrong – much of it you can change yourself in the app;
  • delete it (see section 14);
  • restrict or object to how we use it;
  • take it with you in a commonly used format (data portability);
  • withdraw permission you've given, such as location access, at any time in your phone's settings or in Piblee.

To use any of these rights, email support@piblee.co.uk from the email address on your Piblee account. A parent can make requests for their child. We'll reply within one month. It's free.

If you're unhappy with how we've handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office (ICO): ico.org.uk/make-a-complaint or 0303 123 1113.

14. Deleting your account

In the app: open Piblee on a parent's phone, go to Account & settings, tap Delete my account, then Delete forever.

  • Your account and personal information are deleted.
  • If you own the family and another parent has joined, they take over the family. If not, the whole family is deleted too – children, missions, messages, photos, PipCoins and everything else.
  • Deleting your account doesn't cancel a subscription with Apple or Google – please cancel it in your App Store or Google Play subscriptions first.

15. This website and cookies

piblee.co.uk doesn't use cookies, analytics or trackers, and doesn't load anything from other websites. Our hosting provider (Cloudflare) processes basic technical information, such as IP addresses, to deliver the site and protect it from attacks.

16. Changes and contact

If we change this policy, we'll update the date at the top. If the change is important, we'll tell you in the app before it takes effect.
